Booth Space Reservation

To reserve booth space for the joint ESCRS/EURETINA exhibition which will take place from the 7th – 11th September, please click on the Manage Your Exhibition Booth Space button and create a new Exhibitor Account. Valid credit card details are required to complete the registration process but the card will not be charged automatically as you also have the option of making the payment by bank transfer.  Please note that full payment is due within 7 days of booking to secure the booth space.

Exhibition Rates:

• Booth space rental: €750
  per square metre (booth space only)
• Optional extras: 
  available on-line from May 2012.

The rental of booth space is €750 per square metre for space only. Shell schemes, furniture and fittings and other extras can be hired at additional costs, details of which will be available through the ERC upon submission of full booth space payment.

Booth Space rental includes:
1. Space only
2 Company / Product Listing and Logo on the Virtual Exhibition
3 Company Listing in the Final Programmes
4. One Priority Point per €1000 spent on booth space rental

 

Payment Information:

Booth space rental per square metre in the exhibition area is €750 and this covers the cost of booth space only. Technical information outlining details of shell schemes and other services will be made available online to Exhibitors during May 2012.

A deposit of 25% of the total cost of the exhibition space is due on or before 2 December 2011.

Full payment for booth space is due by 31 March 2012.

In the event that full payment has not been received by 31 March 2012, the Organiser reserves the right to reallocate booth space.

Cancellation/Refund Policy 

• Notification of cancellation of exhibition space must be received in writing by the Organiser on or before 31 March 2012. If notification of cancellation is received prior to 31 March 2012, and full payment (including VAT if applicable) has been paid, a refund of 75% of the total sum received by the ESCRS office for the booth space will be issued. If only the deposit payment has been received, no refund will be due.
• If notification of cancellation of booth space is received after 31 March 2012 and the booth space has been paid in full, no refund will be due. If notification of cancellation of booth space is received after 31 March 2012 and only the booth space deposit has been received, the remaining 75% of the booth space cost will be due for payment.
• If notification of cancellation of booth space is received after 31 March 2012 and no payment has been received, then 100% of the booth space cost will be due for payment.
• If payment is not received within 30 days of cancellation the outstanding amount will be charged to the registered credit card.

Applications for Exhibition Space

• Applications for exhibition space must be made online by creating an exhibitor account on the Exhibitor Resource Centre (ERC) www.escrs.org. Applications will not be processed until a valid credit card has been registered to the account (the card is not charged automatically as all payments may also be completed by bank transfer). A 25% deposit must be received by the ESCRS office within one week of the booth space reservation being made and full booth space payment is due by 31st March. Please note that booth space may be reallocated after this time unless payment is received in full. The minimum amount of space that can be reserved is six square metres, unless prior agreement is made with the Organisers..
  
  Please also note that outstanding invoices from previous congresses must be settled before your Booth Space reservation can be processed.
  

Allocation of Space

Exhibition space will be assigned in April 2012. Booth locations will be assigned according to points accrued by exhibiting companies during 2011. Please note that requests for placement away from other exhibiting companies may limit booth positioning.

Alteration of Location & Size of Booths

The Organiser shall be entitled to alter the space rented by the Exhibitor and to undertake limitations of the rented area. Such limitations can only be made against a corresponding reduction of the booth rental but shall not render the Organiser liable to pay compensation.Furthermore, the Organiser shall be entitled, within thirty days after the receipt of the online application and deposit, without assigning any reason and without incurring liability to damage, to cancel the lease entered into against reimbursing any booth rental paid at the time of cancellation. Exhibitors are not permitted to sublet their booth or lend it to a third party in part or whole. Exhibitors may not exchange booths without the written consent of the Organiser.

Final Programme

All exhibitors will be listed in the Final Programmes, provided booth space has been reserved and paid in full before the programmes go to print. All exhibitors may also submit a company listing (100 words) and logo for inclusion on the Virtual Exhibition.The Organiser is not responsible for errors or omissions in the Final Programmes or on the Virtual Exhibition.

Special Arrangement

Special arrangements, if any, between the Organiser and the Exhibitor which are not included in the agreement shall only be binding when accepted in writing by the Organiser.
